The Role

As a Project Administration Assistant, you will take on a multifaceted role. Your responsibilities will include:

  • Manage the end-to-end process of raising Purchase Orders
  • Source and secure competitive Supplier Quotes to support procurement activities
  • Collaborate with Project Managers to obtain necessary Supplier Quotes for project needs
  • Prepare and distribute monthly procurement reports
  • Handle the submission and tracking of sample submissions to clients
  • Maintain and update procurement registers with relevant purchase and sample data
  • Keep Hire Plant Registers current with updates upon the issuance of Purchase Orders
  • Oversee the completion and organisation of project Operation and Maintenance Manuals
  • Assist with the mobilisation of employees to project sites, ensuring all logistics are in place
  • Support Quality Assurance efforts by collating necessary documentation for projects
  • Manage the collection of Maintenance Dockets during the Defects Liability Period
  • Provide general administrative support, including office maintenance, vehicle management, and compliance tasks.

Required Qualifications and Skills

  • Previous experience in project administration or similar role
  • Experience with procurement and purchase order processes
  • Familiarity with project management software such as Procore is a plus
  • Proficient with MS suite and confidence in navigating various software applications
  • High attention to detail, particularly in identifying and correcting errors
  • Strong written and verbal communication skills
  • Effective time management skills and the ability to prioritise tasks.
